Start with nights and cost units

Count the nights in each base before choosing a daily allowance. A room charged per night is a different unit from a tour charged per person, and a vehicle shared by a group is different again. Record each quote with its currency, dates and what it covers. Then calculate the total for the group before dividing by travelers. That avoids a common planning error: treating a room price as a per-person price or adding the same shared cost several times.

It separately describes other categories and specialized visit arrangements. That gives a concrete example of an individual paid visit, not a daily entertainment budget and not a price for every museum. Recheck the applicable category and date before using it in a final booking plan.

A useful price record includes the provider, observation date, unit and exclusions. For a room, retain the travel dates and occupancy. For transport, retain the actual leg and ticket conditions. For an activity, retain the exact package and any extra entry charges. If two options do not include the same things, do not call the lower displayed amount cheaper overall until you add what is missing. This is the difference between a budget you can explain and a collection of tempting headline prices.

Compare transport and activities without double-counting

For a no-car route, list the intercity leg and the local connection to your stay or activity separately. For a car route, build your own list of rental, fuel, parking and any applicable terms rather than compare a base rental quote with a complete train-and-transfer total. Activities can combine costs that otherwise belong in different parts of the worksheet. If a tour includes transport, do not add a separate transfer for the same journey unless you really need one.
